Full-Time Receptionist and Facilities Assistant

Job Description

We are looking for an experienced, highly organized and self-motivated Receptionist and Facilities Assistant to join our Corporate Administration team. The successful candidate will provide exceptional administrative services and front-end support.

 

Your Impact:

Customer Service:

  • Present a professional and supportive demeanor to all staff, clients and vendors of Sovereign
  • Establish and maintain constructive working relationships with internal and external contacts

Reception Services:

  • Act as first point of contact for Sovereign/Co-operators employees, visitors, contractors, and vendors
  • Coordinate the activation and deactivation of access cards and complete regular monthly audits of building access cards, including parking

Distribution Services:

  • Receive, sort and deliver incoming mail, couriers and other deliveries daily, following internal procedures and schedules
  • Pick up and send outgoing mail, couriers and other items following internal procedures and schedules

 

Office Supplies and Equipment:

  • Following internal process and procedures, order and manage the stock of stationary supplies and fill custom orders for approved items when required

 

Building Amenities:

  • Ensure all kitchens are organized and maintained and appropriately stocked as efficiently as possible
  • Organize meeting room set up and ensure equipment is available and in working order

 

Your Expertise:

  • Responsive, proactive and flexible with the ability to work with little direction
  • Strong organizational and time management skills
  • Strong interpersonal and customer service skills
  • Ability to work collaboratively in a team setting
