Full-Time Policy Service Assistant

The Policy Service Assistant is responsible for receiving routine submissions, deciphering the nature of the submission, entering information into the Market Reservation system while ensuring completeness of the information provided and directing the submission to the appropriate business sector in a timely manner and in accordance with business guidelines and policies

Responsibilities:

  • Enter submissions into the clearance system, ensuring accuracy and completeness of information on a timely basis, and with thorough attention to detail.
  • Assist identify missing information for the Underwriter, or when appropriate, follow up with Broker directly.
  • Ensure overdue work is escalated as needed in order to manage volume and service levels.
  • Manage the submission queue to ensure submissions are logged efficiently and accurately at all times.
  • Provide administrative support, such as sending emails and notifications to assist in account maintenance and effectively communicate with customers.
  • Keep Underwriter assignment lists and other documentation up to date.
  • Answer telephones and ensure phone queue coverage at all times.
  • Assist in data editing, verification, and reconciliation activities.

Qualifications:

  • Post-secondary school education and/or equivalent on-the-job experience.
  • General insurance/business knowledge an asset.
  • Excellent keyboarding skills.
  • Ability to work within a PC oriented environment, including familiarity with e-mail and Internet skills.
  • Competence with Excel and other Microsoft Office Suite products.
  • Previous office administration experiences an asset.
  • Established customer service skills.
  • Strong verbal and written communication skills.
  • Strong interpersonal skills and ability to build relationships at all levels, throughout the organization and externally.
  • Ability to produce accurate, error free work.
  • Strong time management and organizational skills.
  • Strong detail-oriented approach to work with ability to multi-task.
  • The ability to work in a dynamic/self-empowered environment and with a proven track record in establishing and meeting deadlines, and managing large volumes of work within a short time frame.
  • Analytical skills and curiosity about various business processes and how they function collaboratively.
