LIFE INSURANCE BROKER ADMINISTRATIVE ASSISTANT

Our client in south Etobicoke is looking to add to team. Good working environment.

Qualifications:

  • Valid Life Insurance License (LLQP)
  • Drive and self-motivation
  • Fluent in English, both written and spoken.
  • Adaptable and must be able to work under pressure and tight deadlines
  • Accuracy, exceptional time management skills and attention to detail are key requirements.
  • Well-developed communication skills (written and oral) and able to take the initiative to respond intuitively in an appropriate and timely manner.
  • Able to prioritize work flows with the ability to multi-task
  • Confidence and ability to learn financial concepts
  • Track record in building rapport and maintaining client relationships within the financial, service or retail industry
  • Experience with using a CRM Tool an asset
  • Mutual Funds License an asset (IFIC) an asset

Job duties:

  • Present a positive and professional image to all visitors, clients, prospects, and during other interactions.
  • General office work including photocopying/scanning and faxing.
  • Provide direct administrative and office management support to the Investment Funds Representative, as directed by verbal or written instruction.
  • Receive and screen all inbound telephone calls, e-mails, and visitors to the office; refer and/or redirect calls, e-mails, or visitors as applicable.
  • Book appointments with existing clients and prospects, as well as maintaining the daily appointment calendar.
  • Receive incoming mail and review, evaluate, and distribute correspondence accordingly to the Investment Funds Representatives.
  • Accurately enter data tracking and create reports.
  • Carry out an efficient documentation and filing system.
  • Store, update and retrieve financial and other client data using system software provided.
  • Update Petty Cash log as required and submit to head office on a quarterly basis.
  • Carries out administrative tasks such as bank deposits, depositing and monitoring TFSA, RSP and RIF contributions and withdrawals, and processing and following up on incoming and outgoing transfer of Registered accounts
  • Prepare outgoing courier packages when necessary
  • Timely review of all paperwork for accuracy, completeness and compliance for processing of all GIC, mutual fund and segregated fund investments by branch cut-off
  • Maintain a high level of integrity and ethical conduct
  • Follow security and safeguarding procedures and apply appropriate due diligence for the prevention of loss due to fraud, counterfeiting, money laundering or defalcation in accordance with compliance regulations
